This policy explains what C.L.E.A.N. Ops Method collects, why, and what we do with it. We keep it plain because the work is about clear documentation, and this should be no different.
What we collect
- Sample report requests. Your email address and industry when you request a sample audit report.
- Quiz responses. The answers you select in the Workflow Friction Quiz.
- Audit applications. Business and operational details you submit — company information, team size, tools, workflows, current friction, and anything else you choose to include.
- Scheduling information. Name, email, time zone, and meeting details when you book a Fit Call through our third-party calendar tool.
- Recordings and transcripts. Audio recordings and written transcripts of audit interviews and meetings — collected only with confirmed consent from every participant on the call.
- Technical data. Standard server and browser data such as IP address, browser type, device type, and pages visited.
Why we collect it
We collect information for four reasons:
- To assess whether an engagement is a fit before either party commits.
- To deliver the audit and produce the report and roadmap.
- To send materials you asked for, such as a sample report.
- To maintain an accurate record of what was discussed and decided during an engagement.
We do not collect information we have no use for.
How it's used and who sees it
Client operational data and interview transcripts are used solely to produce that client's deliverables. They are not sold, rented, or shared with third parties for marketing. We do not use one client's material to serve another client without written permission.
A small number of service providers process data on our behalf so the business can function:
- Scheduling — to book and manage Fit Calls and audit interviews.
- Email delivery — to send requested materials and engagement correspondence.
- Form processing and workflow automation — to route submissions to us.
- Hosting and infrastructure — to run this site and store engagement records.
These providers are bound to use the data only to provide those services to us. They are not permitted to use it for their own purposes.
Retention
Intake data — applications, quiz responses, and sample report requests — is kept for up to 24 months from your last contact with us, then deleted.
Recordings and transcripts are kept for the duration of the engagement and for 12 months after it ends, so we can support the report-review meeting, the two-week check-in, and any follow-on work. After that they are deleted.
Audit reports and roadmaps are kept for 24 months after delivery so we can reissue them if you lose your copy. Invoices and payment records are kept as long as tax and accounting rules require.
You can ask us to delete any of the above sooner. See below.
Your rights
Email hello@cleanopsmethod.com to request a copy of the data we hold about you, to correct anything inaccurate, or to have your data deleted. We respond within 30 days and confirm in writing when a deletion is complete.
You can withdraw consent to recording at any time — before a session or during it. Say so and recording stops. If you withdraw consent after a session, email us and we will delete the recording and transcript. Withdrawing consent does not end the engagement, but it does mean we rely on written notes instead of a verbatim record.
Marketing email
If you submit your email address, you may receive occasional updates about C.L.E.A.N. Ops Method — new material, availability, or changes to the offer. Not frequent, and never sold to anyone.
Every one of those emails has an unsubscribe link. You can also reply "unsubscribe" or email hello@cleanopsmethod.com. Removal is immediate. Unsubscribing from updates does not affect email tied to an active engagement.
Cookies and analytics
This site sets cookies required to keep you signed in to the client portal and to keep forms working correctly. Those are necessary — the portal cannot function without them.
We use basic, aggregate analytics to see which pages get read and where visitors arrive from. It tells us what to improve. We do not run advertising trackers and we do not build profiles of individual visitors. You can block cookies in your browser; the public pages will still work, but the client portal will not.
